To ensure the provision of an effective high quality and responsive secretariat service to the Chief Executive, Directors and Trustees and well-presented corporate office service. The post holder is also responsible for the line management of the Executive PA to the CNO / CFO. This post requires the highest levels of standards, confidentiality, probity and a high level of initiative and personal judgment.
The Chief Executive is the overall accountable officer for the Hospital and the Executive Assistant will provide appropriate support to ensure smooth delivery of the role. This includes liaison with Trustees, members of the Hospital Management Board, Consultants, patients and relatives and external bodies including the CQC, insurers and other senior stakeholders

What are the Responsibilities of this Executive Assistant to CEO role?
- Provide high quality personal secretarial and administrative support to the Chief Executive Officer and Directors.
- Ensure effective communication, including that which is business sensitive, to all levels of staff within the Hospital and to external parties. Ensure effective sensitive and appropriate internal and external communication at all times. To direct press enquires as appropriate.
- Ensure the delivery of a high quality Corporate ‘front of house’ at all times: delivery of the highest standards of courtesy and service at all times; telephone enquiries are handled promptly and effectively and visitors are welcomed and needs catered for. Assist with the management of meeting room bookings and loan of corporate laptop.
- Effectively and appropriately handle correspondence on behalf of the Chief Executive Officer and Directors.
- Preparation and circulation of all HMB, Heads of Department, meeting packs and to prepare documentation necessary to support the CEO at Trustee Boards and the Brampton Trust.
- The post-holder is responsible for taking extensive minutes, as required at all Hospital Management and Heads of Department meetings. This includes meetings which are scheduled during normal working hours and in the evening.
- To effectively draft high quality reports for the Chief Executive Officer and Directors, including researching, analysing, evaluating and presenting information.
- To assure the highest professionalism and image of the Corporate office at all times.
- Ensuring effective organisation of robust office systems and associated arrangements to meet secretariat needs and deliver the highest standards and compliance with appropriate standard, for example, audit, records management and Care Quality Commission.
Am I the right person for this Executive Assistant to CEO role?
- Degree level or equivalent experience
- Excellent track record of providing secretariat services to a Board, Executive team or senior clinicians.
- Extensive experience of PA/Secretarial experience at a senior level including managing complex diary commitments
- Demonstrable experience in managing staff
- Experience of budget management
- Excellent interpersonal, influencing and negotiating skills
- Excellent written and verbal communication skills
- Excellent planning and organisational skills with the ability to respond effectively to multiple priorities
